City of Nelsonville is accepting applications for the position of Administrative Assistant. This position is a supportive role working with the City Manager and Code Enforcement Officer. The candidate will need to work independently without supervision and uphold a high level of honesty, integrity, ethics and fairness. Must remain calm, courteous and respectful always, and have the ability to manage conflict appropriately.
Essential Duties and Responsibilities
- Receive and screen all visitors and telephone calls to the City Manager’s Office and Code Enforcement Officer’s Office, providing information and handling issues that may require sensitivity and sound independent judgment.
- Respond to requests for information and refer requests and complaints from officials, customers, and the public to appropriate staff for resolution.
- Review and distribute incoming emails and phone calls.
- Perform data entry and maintain databases for Office programs and surveys.
- Review and compile data for City programs.
- Input data, maintain logs, and generate regular program reports.
- Proofread and check typed and other materials for accuracy, completeness, and compliance with City standards, policies, and procedures.
- Ensure materials, reports, and documents for signature are accurate and complete.
- Assist as assigned in maintaining calendars for the City Manager and Code Enforcement Officer.
- Schedule and confirm meetings and appointments, distribute meeting supplies such as pamphlets, binders, paper, pens and beverages.
- Organize, set priorities, and exercise sound independent judgment within areas of responsibility.
- Communicate clearly and effectively, both orally and in writing.
- Principles and practices of effective customer service and customer-oriented telephone etiquette.
- Office administrative practices and procedures, including file and document management procedures and practices.
- Correct English usage, including spelling, grammar, and punctuation.
- Effectively and efficiently interpret and relay city organization and basic information regarding ordinances, rules, policies, procedures, and operating practices in person or via telephone, email, text, video conference or mail.
- Use of a computer to perform advanced uses of word processing, graphics, spreadsheet, database, and other software to create documents and materials requiring the interpretation and manipulation of data.
- Purchase equipment and supplies, track and schedule maintenance for City Manager and Code Officer assigned vehicles.
- Type accurately at a speed necessary to meet the requirements of the position.
- Maintain strict confidentiality of privileged information.
- Use a high degree of tact, diplomacy, and discretion in dealing with sensitive and confidential situations that concern internal and external parties.
- Establish and maintain highly effective and friendly working relationships with the City Manager, City Council members, other elected and appointed officials, committee members, department directors and managers, staff, residents, representatives of civic and community groups, the media, the public, and others encountered in the course of work.

Salary: Step 1 – $20.00/HR; Step 2 – $20.50/HR; Step 3 – $21.00/HR
Schedule:
Full-time, 8-hour shift
